RISEUP Phoenix Trauma and Crisis Institute respects your privacy and the trust you place in us. This policy explains how we collect, use, share, and retain personal information when you visit our website, purchase services, participate in courses or communities, attend events, or receive private coaching.

Some services involve information that deserves particular care, including private coaching responses and children’s participation in adult-supervised activities. This policy distinguishes those uses from general website, enrollment, and payment information.

Information We Collect

Depending on how you use our services, we collect information you provide when you register, make a purchase, contact us, or participate in a program. This may include:

  • Contact and account information: your name, email address, and information needed to manage your account or respond to you.
  • Purchase information: the services or products purchased and related transaction records. Payments are processed through Stripe or PayPal.
  • Learning and participation information: enrollment, course progress, completion dates, community contributions, and information you choose to share during activities.
  • Private coaching information: information you choose to provide about your circumstances, goals, and support needs through coaching intake or sessions. This is separate from general enrollment information.
  • Communications: inquiries, support requests, and other messages you send us.

Recording practices and children’s participation are addressed separately below.

How We Use Your Information

We use personal information relevant to the services you request to:

  • Manage enrollment, accounts, purchases, and access to programs.
  • Deliver courses, coaching, community activities, and participant support.
  • Communicate about appointments, purchases, program access, and service updates.
  • Maintain learning, completion, and continuing-education records.
  • Respond to questions, privacy requests, and concerns.
  • Maintain records needed for applicable legal, accreditation, insurance, and dispute-resolution obligations.

When our newsletter becomes available, you may choose to subscribe and unsubscribe from marketing emails at any time. Community-update emails will relate to your membership and participation.

We do not sell, rent, or share client or member contact lists for another organization’s marketing. We do not currently send marketing text messages.

When Information Is Shared

We share information with providers involved in delivering the services you use:

  • CC360: website, account, course, community, and related service administration.
  • Stripe and PayPal: payment processing.
  • Zoom and CC360’s video tools: live sessions, depending on the service used.
  • Grow By 1: required continuing-education registration reports containing your name, email address, and completion date.

Information you contribute to a community or group session may be visible to other participants. Please consider what you choose to share in those settings.

We may also disclose relevant information when required by law or valid legal process, or when reasonably necessary to address a safety concern or establish, exercise, or defend legal claims.

Any planned marketing or social-media use of identifiable participant images, voices, or recordings will require separate authorization. Permission for a member replay does not automatically authorize promotional use.

Private Coaching and Client-Requested Recording

Private coaching sessions are ordinarily not recorded or transcribed. AI note-taking tools are normally turned off.

A client may request recording, transcription, or the use of their own note-taking tool. Any exception must be agreed upon before recording or transcription begins, including agreement from other participants where applicable.

For these client-requested exceptions, the client receives and retains the recording or notes; the Institute does not retain a copy. A third-party tool may process or store that information under its own privacy terms.

These recordings and transcripts are separate from the coaching records the Institute maintains to document services.

Children’s Participation and Event Recordings

Children access programs through a parent or guardian’s account and may participate in live activities while accompanied by an adult.

Selected live events may be recorded for replay within the member area. Before including an identifiable child in a recording, we will obtain the parent or legal guardian’s authorization for that use. Adult accompaniment alone does not serve as recording permission.

If authorization is declined, the child’s identifiable participation will be excluded from the recording or removed before the replay is shared.

Member replays are for viewing within the member area. Members may not download, screen-record, or share participant replays. Materials expressly provided for download, such as worksheets, may be downloaded.

Any marketing or social-media use of a child’s image, voice, or participation requires separate authorization.

How Long We Keep Information

We retain private coaching records for seven years after the end-of-service date. Applicable continuing-education learner records are retained for at least seven years in accordance with Grow By 1’s accreditation requirements.

Records may be retained longer when necessary for an active claim, dispute, legal hold, or other applicable obligation.

Other personal information is retained for as long as reasonably necessary for the purpose it serves, such as maintaining an active account, providing purchased access, processing transactions, or responding to support requests.

You may contact [email protected] to request deletion of your information. Some records may need to be retained to meet applicable obligations; we will explain any relevant limits when responding to your request.

Your Choices and Privacy Requests

You may contact [email protected] to ask about your personal information, request access or corrections, or request deletion.

Depending on your location and applicable law, you may have additional privacy rights. We will evaluate requests under the requirements that apply to you and may need to verify your identity before releasing or changing information.

Parents and legal guardians may contact us about information relating to their child’s participation.

When newsletter subscriptions become available, you may unsubscribe from marketing emails using the link in those messages. Unsubscribing from marketing does not stop necessary communications about purchases, appointments, account access, or services you continue to use.

Cookies and Similar Technologies

Our website uses cookies and similar technologies to support security and website functionality. For example, Cloudflare uses a security cookie to help protect the website against automated abuse.

Depending on the features you use, our platform and connected providers may also use cookies or browser storage to support account access, forms, purchases, and related functions.

You can manage cookies through your browser settings. Blocking certain cookies may affect website or service functionality.

Protecting Your Information

Protecting personal information is part of how we manage our services. Security depends on the safeguards of our service providers, our account settings, and how information is accessed and handled.

No online system can guarantee complete security. Please avoid posting private coaching information or other sensitive personal details in community discussions or group chats, where other participants may see them.
